Photo Requests & Rights
Digital files are available of most works of art in the WAAM Collection. 35 mm slides may be produced by special request. Photography requests can be made by phone, email, or letter, and should include details, including purpose of request (study, publication, etc.), contact name, address, phone, and email.
At the time of request, an application and schedule of fees will be supplied. All related fees must be paid in advance and a signed application must be received before images can be supplied. Applicants should allow up to 2-3 weeks from the time of their initial request to receipt of the image, and up to 6 weeks for slides.
If the request is for publication, applicants must provide details about the publication, including format, title, author, publisher, date, color or black and white, number of pages, distribution, etc.
PHOTOGRAPHIC MATERIAL AGREEMENT
- Reproduction of image(s) is granted for one-time use in an American publication, one edition, and in one language. Permission to publish images in subsequent editions or reprints must be obtained in advance.
- However, some of the works of art and photographs of those objects may be protected by copyright, trademark or related interests not owned by the Woodstock Artists Association. Responsibility for ascertaining whether any such rights exist and for obtaining all other necessary permission remains with the applicant.
The Woodstock Artists Association & Museum (WAAM) makes no warranties or representations and assumes no responsibility whatsoever for any claims against applicant or the WAAM by artists, their agents, estates, or by an parties in connection with the reproduction of works of art in the WAA collection. The applicant agrees to indemnify the WAAM and hold it harmless against any and all such claims, including copyright infringement claims, royalty or fee demands and/or actions, including the costs thereof, arising as a result of the applicant’s reproduction of the works of art in the WAAM collection. Any and all royalty payments or other requirements specified by the copyright owner of such a work must be paid or honored by the published or agent requesting reproduction permission.
- Unless agreed otherwise, the image must be reproduced unaltered and in its entirety.
- The reproduction must be accompanied (directly under the reproduction, on facing page, on reverse, or in an index or list of illustrations) by a full caption and credit lines as specified in this agreement.
- The museum must see a proof before color reproduction is approved.
- A copy of the publication is required for the WAAM Archives and library.
- The contract must be signed and countersigned before it is approved and all fees for photographic materials must be paid for in advance.
