OPEN POSITION
Gallery Coordinator

24-32 hours per week, including weekends

Position starts immediately

Job Description

The Gallery Coordinator takes a lead role as membership and volunteer coordinator for the WAAM and is responsible for gallery operations during regular public hours.  The Gallery Coordinator reports to the Executive Director and works closely with other professional staff and Board committees in the planning and implementation of all activities at the WAAM.

The Gallery Coordinator plays a key role in this historic organization, having the following duties:

I. Reception and Gallery Sales

Performs or coordinates volunteers to perform the following:  Answers phone, greets visitors, and responds to public inquiries. Facilitates and encourages sales from the gallery and shop.  Handles cash, check, and credit card sales. Provides artist member support by phone, email and walk-in, providing information and directing inquires to appropriate sources.  Provides security for the gallery and Towbin Museum Wing during open hours. Maintains the condition of the front grounds and interior public spaces on weekends.

II. Exhibitions and Events

Assists in planning yearly calendar and performs administrative tasks for exhibitions in the Main, Solo and Founders Galleries and events.  Schedules monthly solo shows and Active Member Walls, corresponds with artists through mail and email, coordinates and works monthly submission days, creates labels, etc.   Works with Executive Director, staff and Board committees on events, fundraising, and other activities.  Coordinates volunteers and donations for monthly receptions and other events.  

III.  Publicity and Communications 

Writes and works with others to create press releases and flyers on a timely basis.  Similarly, orders signs and coordinates advertising, updates website (www.woodstockart.org), and designs and sends email announcements through Constant Contact. 

IV.  Administrative 

Maintains records related to membership, sales, mailing lists and other areas. Creates forms, labels and price lists for exhibitions. Coordinates print mailings.  Performs weekly sales close out for all sales and coordinates artists commissions with bookkeeper.  Performs additional bookkeeping as necessary.   Provides administrative support for the Executive Director in relation to fundraising, donor development and other areas, as necessary.

Additional tasks as assigned.

Qualifications and Skills

  • The successful candidate has excellent communication and organizational skills and a proven ability to multi-task in a busy environment. 
  • A positive attitude and courteous manner with the public, members, and other WAAM stakeholders is essential.
  • Minimum one to two years experience in a similar environment is preferred.  Experience planning and implementing events and programs and working with groups is important.
  • The successful applicant will be fluent in MS Word and have a working knowledge of Access and Excel programs (PC format).  Familiarity with database and mail merge functions essential. Knowledge of Photoshop and web design and web communication programs preferred.  Proven ability to learn and advance from basic functions in these programs quickly is essential.
